Workday will be your go-to resource for accessing your benefits, payroll details, and other essential information!
Here are the five steps to your start at PACE:
Workday
- Check your email for your offer letter and your welcome letter from your talent partner. The welcome letter will have instructions for signing your offer letter as well as other relevant information. Plase complete this item within 2 business days of verbal acceptance. Review and sign your offer letter. Instructions and link to your offer letter can be found in one of several emails sent to you after verbal acceptance.
- Complete additional tasks of entering your date of birth, marital status, and social security number. Please complete this item within 2 business days of verbal acceptance.
- You'll receive separate emails with your Workday username and password. Use them to log in to your Workday Onboarding Portal.

- Emails received may differ depending on type of position. Emails will include but are not limited to:
- Welcome email from Recruiter with instructions on how to sign the online offer letter (format may vary). See Sample Email 1.

- Email from HR with instructions for physical, drug screen and fingerprinting if needed (format may vary, not pictured).
- HR may also reach out with additional emails with questions related to background check results.
- Welcome email from Recruiter with instructions on how to sign the online offer letter (format may vary). See Sample Email 1.
- NOTE: Emails for Trinity Health rehires will differ concerning how the username and password are received. Only one email will be sent with welcome information as well as employee ID. Rehires should contact their Hiring Manager for additional information related to onboarding.
I-9 Requirements
Complete your I-9 Form
This step can be completed virtually through our partner Equifax and should be completed prior to your start date. Review the Virtual I-9 Process Guide for assistance in utilizing the virtual verification method.
- Go to the I-9 Form site:
Virtual I-9 Form
- Select Trinity Health PACE as your location in the dropdown box.
- Enter Section 1 Information
- Include all last names: You should include all last names you have used, including your maiden name (if applicable).
- Include hyphens and apostrophes: If your name has a hyphen or apostrophe, you will need to include it.
Virtual Section 2 Verification
- Your I-9 Section 2 Verification will be done virtually using video conferencing/virtual meeting technology. After completing Section 1 of the I-9, you will upload a photo of the front and back of your documentation, then you will click to meet with a virtual agent to verify your documents.
- The hours to meet with a virtual agent are M-F 5am-4pm PST/8am-7pm EST If you are completing Section 1 outside of these hours you will be notified to return to complete the portion of meeting with a virtual agent during the hours of operation.
- To be prepared for the virtual I-9 Section 2 Verification, be in a quiet well-lit room as the agent will be confirming your identity on camera. Have your documents ready to share with the agent and ensure your camera and microphone are turned on.
- From beginning Section 1 of the I-9 to finishing Section 2 with a virtual agent, it should only take between 10-15 minutes. Please set this time aside so you can finish the process in full.

If you currently live outside of Pennsylvania or have lived outside of Pennsylvania within the last two (2) years you will be required to complete FBI Fingerprinting with Identogo. Visit Criminal History Bkgnd. Check | Department of Aging | Commonwealth of Pennsylvania to help further explain this requirement and process. Results can take up to 2 weeks to return so immediate action is required.

Most up to date COVID Vaccination – with the exception of a signed declination or approved exemption. Colleagues who work in Philadelphia, PA are required to be fully vaccinated or receive an approved medical or religious exemption. Fully vaccinated is defined as having to complete at least one of the following:
- Two doses in an initial two-dose monovalent mRNA (Moderna or Pfizer COVID-19 vaccination series
- A single dose in an initial one-dose COVID-19 vaccination approved by the FDA (Jaansen)
- 1 updated 2023-2024 mRNA COVID-19 vaccine dose
- 1 updated 2024-2025 mRNA dose for an individual who has not had any previous vaccination
- Two doses in an initial two-dose Novavax COVID-19 series
- Flu Vaccine – Flu season with the exception of an approved exemption or signed declination
- TB Testing
- MMR and Varicella – if titers return with no immunity, booster(s) will be required.
Clearance to Begin Work
When all components of onboarding are complete and fully clear, you will receive an email with instructions for your first day, including instructions for orientation.
